Reconciliation Requirements

External Funding provided by AstraZeneca requires completion of reconciliation. Accordingly, CyberGrants will issue an email notification 45 days after the ‘Program End Date,’ requesting the submission of documentation to satisfy the below-mentioned post-funding criteria:

  • Demonstrate that the event/initiative took place.
  • Demonstrate that the purpose and deliverables of the request were fulfilled.
  • Demonstrate that the funds were utilized as agreed upon per the request.

For Donations or Community Investments, a tax receipt is accepted as sufficient documentation for post-funding proof of completion.

For Sponsorships or Grants, multiple documents may be required to satisfy reconciliation criteria. An event agenda alone would not satisfy the above-mentioned post-funding criteria.

For Grants provided to support accredited Continuing Health Education (CHE) under The National Standard (2017), AstraZeneca Canada requests an outcomes report providing information on program goals, learning objectives, performance against identified learning gaps, knowledge transfer/competence retention (including behavioral, attitudinal, and practice changes), and impact on patient care (e.g., Moore’s Levels of Outcomes).

Below are examples of materials that can be submitted for reconciliation. The below list is illustrative but not comprehensive.

Conferences – Virtual/In Person (Congresses, Fundraisers)

  • Event photographs
  • Screenshots of the event (if it was virtual), link of the webpage (if it is hosted online and active) 
  • Viewership statistics (if recordings posted online)
  • Attendee testimonials
  • Post-event survey/feedback results
  • Documentation of benefits received by AstraZeneca Canada (such as booth/display photos, signage with AstraZeneca Canada logo, slides, invitations/agendas/newsletters with branding)

Journal Clubs, Grand Rounds, Medical Education/Programs

  • Attendee lists
  • Feedback summaries
  • Evaluation reports
  • Budget comparisons of expected versus actual expenses
  • Formal letters from organizational representatives confirming activity details (date, attendance, topic, costs)

Support for Websites, Educational Tools

  • Website links
  • Photographs/screenshots of developed platforms/tools
  • Effectiveness evaluation via questionnaires or sample tests
  • Usage/viewership statistics
  • Social media analytics showing initiative reach
  • Budget comparisons of expected versus actual expenses

Publications

  • Publication link
  • Publication copy
  • Budget comparisons of expected versus actual expenses

Process/Support (Research, Projects, Patient Support, Transforming Care)

  • Key meeting dates, rationale, attendance data
  • Budget comparisons of expected versus actual expenses
  • Program objectives presentation
  • Formal letters confirming achievement of outlined objectives, including project details, results, and incurred costs

Refund of External Funding Provided by AstraZeneca

If reconciliation documents are unsatisfactory and do not meet post-funding criteria or are not provided within 10 weeks of the Program End Date, AstraZeneca may request full or partial return of funds and may also restrict future funding requests from the organization.
